The Missouri Department of Higher Education seeks to hire an executive assistant/board secretary as described in the following position description.


UCP Title: Unclassified position

Range:  $30,576 - $42,780

Classification: A18

Reporting Relationship: Commissioner of Higher Education and General Counsel

Location: Jefferson Building, Jefferson City



This position serves as executive assistant to the commissioner and general counsel in an agency with complex administrative responsibilities, and as secretary to the Coordinating Board for Higher Education.  The incumbent must have the ability to perform the essential functions below either with or without reasonable accommodation.

  • Manages calendars and scheduling, handling correspondence, assisting with meeting preparation and execution, and setting priorities and deadlines.

  • Coordinates preparation and distribution of board materials, planning for meetings, maintaining minutes, and other related duties.

  • Supports department-wide functions by maintaining mailing lists, assisting with planning and staffing for meetings, making travel arrangements, coordinating online meetings and webinars, coordinating hiring processes, maintaining employee files, and other duties as assigned.


Knowledge and abilities required:

  • High level of proficiency in all Microsoft applications.
  • Creative, detail-oriented, capable of prioritizing assignments and carrying out complex directions.
  • Excellent written and oral communication skills.
  • Ability to maintain effective working relationships with coworkers, executive-level leaders, legislators and staff, and other state government departments.


Education required:

  • Associate degree.
  • Experience planning meetings and events preferred.


Required travel:

  • This position requires periodic travel.
